How to Create a Wedding Day Run Sheet That Your Team Can Use
Create a wedding day run sheet with one current timeline, supplier handoffs, cue owners and a practical escalation route.

Make the run sheet an execution record, not a beautiful itinerary
A wedding day run sheet should show what happens, who owns the handoff, what has to be true first and who can decide if it changes. Build it from the final current timeline, then add supplier-specific actions and an escalation route. A guest itinerary is derived from it; it is not the operational source.
| Time | Handoff | Owner | Confirmed by | Escalate to |
|---|---|---|---|---|
| 12:30 | venue opens to setup team | venue lead | access check | planner lead |
| 15:45 | ceremony space ready | ceremony lead | venue and music | planner lead |
| 17:20 | room reset begins | catering lead | photo lead and venue | planner lead |
| 18:00 | meal service starts | catering lead | service captain | couple decision-maker if material |
Add the information each owner needs
For each handoff, include location, contact, current version, cue, dependency and fallback. Avoid making every supplier read a 12-page general document to find one arrival time. Send each person the relevant operational extract while retaining one master version.
Worked example
At a fictional reception, the ceremony ends ten minutes late. The ceremony lead tells the planner lead, who checks the master run sheet: catering setup now conflicts with family photos. The planner lead offers two approved options, the couple’s named decision-maker chooses one, and the updated cue goes to catering, photography and the venue. The result is recorded in the master version rather than explained differently in three messages.
Close the run sheet before event day
Run a final review of access, contacts, supplier confirmations, approved decisions and change authority. Unresolved items belong in a confirmation ledger, not in someone’s memory. Use the vendor confirmation workflow to close them, then use the portfolio review to see which events still have execution risk.
Cakd can keep tasks, vendors and decisions organised. Agency includes task assignment; neither plan automatically produces a run sheet or adjudicates a live event change.
