Keep five values separate

An estimate, a quote, a contracted total, money paid and money remaining are different values. Keep each one rather than overwriting the earlier number. Location, season, scope and priorities make any published average a poor substitute for your real quote. This is an international planning method, not financial, tax or legal advice.

StateMeaningFictional example
EstimatedYour early allowanceEUR 8,000 for food
QuotedA supplier's proposed price and scopeEUR 8,600 including dinner
ContractedThe amount accepted in the agreementEUR 8,600
PaidMoney already paidEUR 1,720 deposit
RemainingContracted less paidEUR 6,880

Compare like with like

For each quote, extract the base scope, quantities, inclusions, exclusions, mandatory fees, variable charges, tax treatment, payment dates and change or cancellation terms. The worksheet organises questions; it does not replace reading the agreement or seeking advice where needed.

Audit venue and catering, staffing, transport and delivery, attire and alterations, stationery, rentals, vendor meals or travel, and contingency as questions—not costs every wedding has. Keep a visible reserve selected by you; no universal percentage fits every plan. If others contribute, record the payer, promised amount and reimbursement status beside the one expense row.

Review before a major booking, after major contracts, and again during the final 90 days; these are useful moments, not the only cadence. In Cakd, budget items can sit beside vendor records, estimated and actual values where supported, and payment status. The richer paid-to-date, remaining and next-due-date columns above are a manual worksheet: Cakd is not a per-invoice partial-payment ledger. Start a new vendor choice with the same scenario in the venue package comparison.
