How to Make a Wedding Day Timeline That Has Room to Breathe
Build a wedding day timeline from fixed points, vendor needs and transitions, with named owners and practical buffers.

Start with fixed times, then protect transitions
Build a wedding day timeline from the times that cannot move: venue access, ceremony, meal service, curfew and supplier requirements. Add travel, setup and changeover time before deciding where photos, speeches or other moments belong. A useful timeline gives each transition an owner and a buffer; it is not an attempt to schedule every minute.
| Time | Event | Fixed by | Owner | Needs before | Buffer/check |
|---|---|---|---|---|---|
| 13:00 | venue access | venue agreement | coordinator | access instructions | room ready check |
| 16:30 | ceremony | couple and venue | ceremony lead | guests seated | weather/arrival plan |
| 18:00 | meal service | caterer | catering lead | final count and room reset | service confirmation |
| 23:30 | music ends | venue rule | music lead | final cue | transport departure |
Build outward from the anchors
Ask each supplier what they need, then compare those needs in one current version. A photographer’s portrait window, a caterer’s service setup and a musician’s sound check may all require the same space. Resolve the conflict before sharing the timeline.
Worked example
For a fictional 16:30 ceremony, the venue opens at 13:00 and the caterer needs the dining room clear by 17:20. The couple plans family photos before the ceremony, adds a 20-minute travel buffer from ceremony to reception space, and gives one person the job of confirming that guests move after the ceremony. When the photographer asks for ten more minutes, the couple checks the catering anchor before agreeing.
Publish the right version to the right person
Guests may only need arrival time, locations and transport notes. Suppliers need access, setup, contact and cue details. Keep a detailed run sheet private and give each audience the smallest current version that lets them act.
Cakd can organise tasks and a wedding timeline; it does not calculate supplier durations or replace venue instructions. For planner-led execution, see the vendor confirmation workflow.
