Start with the first date that needs confirmed guests

Set the RSVP deadline by working backwards from the earliest venue, catering, rental, stationery or seating dependency that needs final guest information. Add time for follow-up and for turning replies into a usable headcount, dietary summary and seating plan. There is no universal interval: your agreements and suppliers control.

In this fictional example, 20 August minus three preparation days and seven follow-up days gives 10 August. It precedes every listed dependency. If two agreements conflict, ask the relevant supplier which date controls rather than assuming.

Travel notice and an operational RSVP are separate. An early notice can help guests assess travel without demanding a final answer; destination customs and booking conditions vary. Publish the chosen deadline consistently on the invitation, wedding website and direct reminders.

Before the deadline: “We would be grateful for your reply by 10 August so we can confirm the final details. You can reply here or through the wedding website.” After it: “We are now confirming final numbers. Please reply today if you are attending; if we do not hear from you, we will mark you as unable to attend.”

After replies close, move confirmed attendance, dietary details, plus-one names and seating information into the records used for vendor totals. Cakd supports guest records, RSVP status, plus-one and dietary details, public website RSVP and seating; it does not read agreements or choose your deadline. Keep the response route consistent with your guest and plus-one policy and your wedding website information plan.
